How to configure your Outlook GMail account

How to configure your Outlook GMail account
How to configure your Outlook GMail account

Why should I use Outlook for my Gmail address?

Although the web based system of Google Gmail is one of the most feature rich webmail platforms, you may want to handle your Gmail account & messages from a client email software program such as Microsoft Outlook. For example, if you are using other email addresses and not just the Gmail account, most likely you would want to read and handle all your email accounts from the same interface & program.

 Configuring the Outook Gmail settings.

You can configure Outlook to handle your Gmail account as a POP3 or as an IMAP account. Depending on your choice, you have to enable the related account option in your Gmail account (Gmail Settings -> Forwarding and POP/IMAP).

Below, we will detail how to setup Microsoft Office Outlook 2000 to 2010 to send, receive and store email messages for a Gmail address. Before getting started, please make sure you know your Gmail email address and your Gmail password.
Start Outlook: from the main Outlook window, go to Tools -> Email Accounts.
How to configure your Outlook GMail account

On the Outlook popup window, select to "Add a new e-mail account" and click on Next.

How to configure your Outlook GMail account

On the server type step, select POP3 or IMAP (depending on your needs) for the Outlook email account type, then click on Next. There is no need to select the IMAP type, because the Gmail web based account will anyway keep a copy of all emails, just like an IMAP account would do.

How to configure your Outlook GMail account

On the next screen, you will have to specify your Outlook Gmail settings, such as your Gmail username and password, Gmail server addresses, Gmail server ports and Outlook Gmail display name.

On the User Information section, enter your Name (it can be anything, but remember this is going to be the name/text that people will see when you will send them an email via your Outlook Gmail account) and your Gmail email address.

On the Server Information section, enter the Google Gmail servers:

POP Gmail servers for Outlook:
- Incoming mail server: pop.gmail.com
- Outgoing mail server: smtp.gmail.com.

IMAP Gmail server for Outlook:
- Incoming mail server: imap.gmail.com
- Outgoing mail server: smtp.gmail.com.

As an alternative, you may setup any other outgoing mail server that you have access to, such as your ISP's SMTP server or your own hosted outgoing server. However, if you setup a 3rd party outgoing mail server, you will not have access to sent emails via your web based Gmail account panel.

On the Logon Information section, enter your Gmail User Name (which is the same as your Gmail email address) and your Gmail password. Tick the box "Remember password" in order to make Outlook to store the Gmail password, so it will not ask you about it every time when Outlook will send/receive emails for the Gmail account.

Click on the "More Settings" button and go to the "Advanced" window tab.

If you use Gmail as a POP Outlook account:
- On the "Incoming server (POP3)" field, enter 995 and mark the box "This server requires an encrypted connection (SSL)";
- On the "Outgoing server (SMTP)" field, enter 465 and mark the box "This server requires an encrypted connection (SSL)".

If you use Gmail as an IMAP Outlook account:
- On the "Incoming server (IMAP)" field, enter 993 and mark the box "This server requires an encrypted connection (SSL)";
- On the "Outgoing server (SMTP)" field, enter 587 and mark the box "This server requires an encrypted connection (TLS)".

For both POP and IMAP, you also have to enable the option "My outgoing mail server requires authentication" from the Outgoing Server tab.

You can also change the server timeouts period: this defines the time interval for which Outlook will wait to establish a Gmail connection, before triggering a connection error. The slower your Internet connection is, the greater period you should put.
The "Delivery" options are not important for an Outlook Gmail account: no matter what you would change here, Gmail will always keep a copy of each email on the Gmail server.

How to configure your Outlook GMail account

When you are done setting up your Outlook Gmail advanced settings, click on OK to return to the Outlook Gmail account window.

How to configure your Outlook GMail account

To verify your Outlook Gmail setup, click on the "Test Account Settings" button: this will make Outlook to attempt to login to your Gmail account and to send & receive an Outlook test email. If the test will succeed, you will notice the test email in your Outlook Inbox folder. If the test fails, Outlook will prompt you with the error messages - most likely, you didn't setup the correct server settings or the Gmail password is wrong.

Auto Reply Manager: Email Autoresponder Overview

Auto Reply Manager: Email Autoresponder Overview

10 Reasons For Using Our Email Autoresponder Add-in for Outlook

1. Fully control automatic outgoing emails

2. Seamless autoresponder Outlook integration

Our email autoresponder is designed as an Outlook add-in, so the learning process is going to be very quick. All you have to do is to access the add-ins toolbar from your main Outlook window.

3. Automatically program when to enable the email autoresponder

When creating an email autoresponder rule, you can easily specify it to be enabled only during certain periods of the day or between specified dates. For example, you can automatically make the autoresponder to be active only during weekends or night time.

4. Easily manage autoresponded messages

Auto Reply Manager can automatically move auto-responded messages to a special mail folder or it can mark these emails as read/replied.

5. Better & faster email collaboration

Using our email autoresponder, not only that you can send automated replies, but you can also have it to automatically forward or redirect a message. So, if you are out on vacation, you can automatically redirect or forward incoming business emails to your co-workers.

6. Avoid nagging people with several automatic messages

Unlike, other autoresponder programs, the builtin mechanism of our email autoresponder program allows you to decide to send just one automatic email to each contact, no matter how many emails are you receiving from that contact. Moreover, you can automatically reset this option by restarting Outlook or by specifying a reset date/time period.

7. Skip processing junk or postmaster incoming emails

By default, our Outlook email autoresponder ignores messages marked as Junk/Spam by Outlook. You can even use a predefined option that skips system messages, such as delivery confirmations or mail server error emails.

8. Funny autoresponder emails

The autoresponder program is delivered with a set of predefined, cartoon-like graphical email templates. You can use these templates to better make your point, in a funny way, when sending automatic messages.

9. Quick activity reports

The Execution Report - accessible from the main Outlook window - quickly shows you what automatic messages were sent to received messages. Plus, a green icon indicates if the message was processed, while a red icon shows that there was a problem processing that message.

10. Easy web form handling

For those who run web sites, our email autoresponder can handle incoming messages that were submitted using web forms. The program can scan the incoming message, look for a certain form field where the sender's address was filled and send the automatic message back to that email address (and not to the site address).

Searching Twitter to Stay on Top of the Trends

Searching Twitter to Stay on Top of the Trends

If you really want to be part of the mainstream Twitter conversation, it pays to follow the current trends
– and the newly designed Twitter website makes that easy to do (see above).
You can see at a glance which topics are hot “by the minute, day and week” so if you instantly want to
jump into a conversation, just pick a topic and go for it. Just don’t forget to enter the relevant keyword
or hashtag into your Tweet so it gets bundled up with the others.

There are actually lots of benefits to using Twitter as your search engine, instead of using say Google
or Yahoo. Let’s see why.
Google and Yahoo are both excellent search engines but when you closely analyse them, they are
just computer algorithms. They are (obviously) not human, they don’t have feelings or emotions, and
they just return results to you based on your keywords
Now for part of the time, that’s all you need. If you want to know the birth date of say Winston Churchill
for your school history essay then a computer algorithm can easily return you the pages you need. But
what if you want to know something more personal? What if you want to know where to get the best
ice-cream in London? Or if you want to know if Gmail is down for other people besides yourself at that
moment? This is where the computer  algorithm hits its limits, because it can’t make personal
preferences and it can’t respond to real-time information requests. It can only rely on spider-visited
websites which may have been crawled say a month ago.

Sync Google Plus to Twitter, Facebook & Identi.ca with Agent G

Sync Google Plus to Twitter, Facebook & Identi.ca with Agent G
Sync Google Plus to Twitter, Facebook & Identi.ca with Agent G
Want to sync your Google Plus updates to other social networks, without having to use a browser extension? There's a new way to do this, called "Agent G," which is actually a special Google Plus user account. Once configured, you can automatically share your Google Plus updates to the social networks of your choice, just by adding "Agent G" alongside the names of the Circles or friends you're sharing a post with on Google Plus

"Agent G" Syncs Google+ to Other Sites
To use the service, you must first associate Agent G with your preferred social networking services, using OAuth (on Twitter and Identica) and Facebook Connect.  In testing, the service was a little buggy. It took two times to register Agent G with Twitter, three times to register with Facebook, and we're still waiting on Identica. Maybe we weren't being patient enough, but Agent G's developer Saggi Malachi says the registration process should only take seconds. It did not.

Still, even with its kinks, you have to admit - this is a pretty cool idea. And as for the bugs, the source code will be released in just a few days, so crowd-sourced improvements should follow soon after, or so we hope.

How to Use Agent G
To use Agent G, do the following:

Sign in with Identi.ca, Twitter or Facebook on this page: http://gplus.sagg.im. (See the buttons on the upper right of the page.)
Once connected, you will be given an authentication string. Create a Google+ post containing your authentication string and share it only with +Agent G.

You can now sync Google+ posts to your connected accounts by simply sharing your post with +Agent G

That's it!

We should note, there's a lag here, as well. In tests, syncs between services took several minutes, which is far from being real-time. As they say, your mileage may vary.

Google Plus for Businesses is not available as of yet, but Google has announced that business fan pages will become an available feature later this year. For now, they are still field testing the profile system for individual users. One internet Entrepreneur, Sean Percival, came up with his own concept of the upcoming feature (see above). If the design does follow his concept then Google Plus could indeed become a powerful weapon for any business. With the ability to integrate other Google Features such as Google Maps, there are a lot of possibilities to market a product on Google Plus.
Customized Google Map: Display all branch locations, hold a geotagging contest.
Example: Find the secret clue in these locations, take photo as evidence, and submit your answer to win a prize.
Google Offers: Use this as an incentive to increase fan circles
Example: Subscribe to our Circle for more special offers
Google Picasa: Hold photo competitions that have the potential to go viral.
Example: Hold our logo in your favorite hangout spots
Business Features: Business Fan Pages could also have a private circle for employees, where they can announce the latest company news. Hangouts can also be used for remote meetings.
What other features do you think will be available on Google Plus Business Profiles?

This week Google launched their social networking service (and a really strong answer to Facebook). Although, it’s invite-only for now users have thronged the site and have started posting updates on their profile.  Since we are all used to Facebook, it’ll take some time before you find out where things are and how things work on Plus. In this post, I’ll list down some tips to help you make better use of Google Plus.

Upload new Photos:

Go to plus.google.com
Click on ‘Photos’.
Now, you should see a summary of all the photos from people in your circle. Click on ‘Upload New Photos’ option on the right side of screen.
The photos you upload now will automatically become a part of Picasa Web Albums.
2. Using Google Plus on the move

If you use Mobile Web more than your PC you are not alone. Fortunately, Google Plus has adequate support for mobile users now.

If you use Android, you can grab this app from the Android Market for free. Apps are not available for other platforms, but you can visit m.google.com/plus on your mobile browser to access Google Plus while Google works on an app for your platform.

3. Getting out of a discussion (mute)

This is one huge annoyance in Facebook that has been successfully addressed in Google Plus. Let’s say you left a comment on your friend’s new photo and others start having a pointless conversation in that same thread. You receive notifications every single time an activity happens and this can get very annoying, luckily, Google Plus has the mute option to prevent just that.

When you see notifications on top right of the screen, just click on them and choose ‘Mute this post’ at the bottom of the menu that spreads out.

4. Hide your Circles

For some reason or the other, you might want to hide the list of circles (& friends inside) from being displayed publicly. If yes, read this post to make sure the circles are all private.

5. Make Google Plus look like Facebook

If you’ve been used to Facebook so much that you find Google+ unattractive, here’s something for you. The chrome extension Facebook+ makes Google+’s UI look like Facebook.

6. Share Photos and Post videos on Google+

We’ve already looked at uploading new photos in our very first tip, but this blog post will show you how to share photos as well as videos seamlessly on Google+.

7. Link with Facebook/Twitter/Tumblr

Google Plus allows you to link to your websites or profiles outside of Google. Here’s how you can do it.

Login to Google Plus.
Click on your Profile picture to visit your profile.
Click on ‘Edit Profile’ (The blue button at the top right).
Now, click on ‘Links’ at the right side of the page. Google will suggest some links automatically, edit them to make everything accurate.
8. Formatting your text

Google Plus allows you to format your status updates to make the fonts look good. Also, you don’t have any restrictions on the number of words for your status message. Here’s how you can format your status message.

You can format the text on Google+ by using the regular symbols like using * at the beginning and the end of a word to make it bold, –text- to strikethrough what you’ve written and _text_ for italics. This works both on comments and status updates. (Via Lifehacker)

9. Turn off Notifications on Google Plus

If you are receiving constant email and navbar notifications from Google Plus and find it intrusive, you can simply disable it. Here’s what you need to do.

Go to your name at the top right and click on it.
Choose ‘Account Settings’ in the dropdown menu.
Click on Google+
You will now see a page with tons of check-boxes. Read through this carefully and choose when you want to be notified and when you don’t want to be.
10. Hide Relationship Status
